You cannot answer the phone with your hands inside a wall.

Plumbers, electricians, roofers, pest control, lawn crews — the work and the phone happen at the same time, and the phone loses. Hey Quad answers while you are under a sink, gets enough detail that the callback is short, and books the routine jobs without you.

Halfway through a job11:35 AM
“There’s water coming through the ceiling. How soon can somebody get here?”

Nobody is free to pick it up. That call is the whole argument for the rest of this page.

What Quad says, and what it does

  • Answers in your business’s name with the hours, the service area, and the trades you actually do.
  • Gets the job in the caller’s words and the address confirmed against your records, so the truck goes to the right door.
  • Books routine work into real openings, and tells the caller the arrival window you set rather than inventing one.
  • Escalates the ones that cannot wait — water, gas, no power, a tree on a roof — to whoever is covering.

When a person takes over

Quad hands over whenever the answer is a judgement call: a quote, a job outside what you take, an unhappy customer, or anyone who asks for a person. During the day that is a transfer to you or to the office; after hours it is the on-call phone. If nobody picks up, the caller is told the truth — when someone will call back — and the message arrives with the address and the problem already written down.

The actual flow

Not a diagram of a product vision. This is the shape of the call flow you get on day one — hours and holidays at the front, the receptionist in the middle, and three ways a call can end.

How a call to a home services business is handledA call to a home services business arrives on the business number, is checked against the published hours and holidays, and is answered by Quad, the AI receptionist. From there the call ends one of three ways: booked — a real slot, not a promise; escalated — the one that cannot wait; quoted later — a message worth calling back.1Someone callsThe number on your sign2Hours and holidaysWorking hours, afterhours, or weekend3Quad answersEvery call, first ringBOOKEDA real slot, not apromiseQuad offers openings thatexist, books one, and textsthe window to the customer.ESCALATEDThe one that cannot waitWater, gas, no power: theon-call phone rings with theaddress and the fault.QUOTED LATERA message worth callingbackJob, address, callback numberand how they found you —enough to price it before youdial.
One number, one flow. What changes between a Tuesday morning and a Sunday night is which box the middle step sends the call to.

And this is where it lives. The same flow, open in the editor you get on day one — every branch above is a box you can move, rename or point somewhere else, without calling us.

What setting it up looks like

  1. Keep the number that is on the van and the yard signs.
  2. Teach Quad the trades you take, the ones you refer out, your service area, and the call-out fee if you have one.
  3. Say what counts as an emergency and which phone it rings.
  4. Install the softphone on the crew’s phones — same extension, no second SIM, no personal number given out.

David does this part with you on a call. Not a ticket queue, not a wizard you work through alone.

No spam, no sales sequence. A real person in Eastern time reads this.

Questions trades ask

I am a one-person business. Is this overkill?
It is the case it was built for. One seat gets you a business number, an AI receptionist answering while you work, texting, and voicemail with transcripts — for a published monthly price, with no contract.
Will customers know it is not a person?
Quad does not pretend to be one. It answers in your business’s name and is straightforward if asked. Callers are markedly more forgiving of that than of a fourth ring into voicemail.
Can it stop giving out my personal mobile number?
Yes. Calls you make from the softphone show your business number, on your own phone, so the callback comes back to the business rather than to you at dinner.
What if I want it to only take messages at first?
That is a normal way to start. Turn booking off, let it answer and take messages for a couple of weeks, read the transcripts, and switch on the parts you trust once you have seen how it talks to your customers.
